UVA Box FAQs

Getting Started & About UVA Box

The following chart shows who is eligible for UVA Box, according to current licensing agreements between Box and the Board of Rectors & Visitors at the University of Virginia:

  • Current, degree-seeking UVA students (includes BIS)
  • Emeritus faculty
  • Certain Sponsored Account Types (HD Agent, Visiting Professor, Visiting Scholar, Unpaid Faculty, ROTC Instructor)

You must have an active UVA email account of computing ID@virginia.edu or primary email alias.

  • Current faculty and staff in UVA Health (Agency 209)
  • Foundation employees not paid by Agency 207
  • Non-degree seeking UVA students (e.g., SCPS, certificate programs)
  • UVA alumni
  • UVA Wise

If you see the screen below on logging in, please contact the UVA Help Desk, if according to the table above you are eligible for a UVA Box account.

Members of the UVA community who are eligible for a UVA Box account (see "Am I eligible for a UVA Box account?" above) are automatically provisioned an account.

Your UVA Box account comes with 1 TB (1,000 GB) of storage space – deleted items which have been moved to the Trash count against your total storage allocation. If you need additional storage, ITS offers other options for departments and managed storage.

Your password for UVA Box is your UVA password that you use to log in through NetBadge. Forgot password?

On your own computer, you may also opt to log in using your personal digital certificate in NetBadge (a faster and more secure login method); but, that is not a login option for:

*For Mac Users: If you are unable to log in to Box Sync using your digital certificate, please remove any expired certificates from your keychain, then try again.

Your Box account username is your primary email address of UVA computingID@virginia.edu (e.g., mst3k@virginia.edu).

If you have other email addresses, such as a UVA email alias (e.g., mike@virginia.edu), or an address in another domain (e.g., mike@darden.virginia.edu), then ITS recommends you add your other UVA email address(es) to your Box account in order to be able to easily view files that are shared with that address, as well.

If you have multiple roles at UVA, you still only get one UVA Box account. Since UVA Box is behind NetBadge, your account username for your account remains your computing ID@virginia.edu.

UVA Box provides a higher storage quota (1 TB/1,000 GB) and different (and in some cases more robust) functionality and mobile device support than other UVA services, such as UVACollab. UVA Box is also automatically provisioned for all eligible users.

Lastly, several other cloud storage services (like Dropbox, etc.) are not University-sanctioned or centrally supported for your files.

Transitioning Box Accounts

See the IT Checklist for Leaving UVA for a list of grace periods and how to transfer ownership of your files, if needed, before you go.

If you are currently employed by UVA at the time of graduation:

  • Your UVA Box account is treated like that of a staff member. See the "What happens to my files when I leave my job or retire" accordion below.

If your UVA Box account is empty:

  • You will lose it after your grace period ends.

If your UVA Box account has files (not empty):

  • When your grace period ends, your UVA Box account will be converted to a free, personal Box account with the name of "your_UVA_Computing_ID@virginia.edu". Any content you stored in UVA Box will be available in this account. To log in to your personal Box account, set a password as follows:

To Set a Personal Box Password:

  1. Go to https://account.box.com/login and select the Reset Password link.
  2. On the Reset Password page, enter your UVA email address and select the Reset Password button.
  3. Box will send you an email with a link to change your password.
If you have more than 50GB of data in your account, then it will be "Read Only" and you will not be able to add files to your account until it goes below the 50GB account limit.

If your UVA Box account is empty:

  • You will lose your UVA Box account.

If your UVA Box account has files (not empty):

  • Your UVA Box account will be converted to a free, personal Box account with the name of "your_UVA_Computing_ID@virginia.edu". Any content you stored in UVA Box will be available in this account. To log in to your personal Box account, set a password as follows:

  1. Go to https://account.box.com/login and select the Reset Password link.
  2. On the Reset Password page, enter your UVA email address and select the Reset Password button.
  3. Box will send you an email with a link to change your password.

When you leave or retire as a UVA employee, you'll no longer have access to your UVA Box account unless you are also currently an active student. Your Box account's files/folders, which are University records, will be removed.

Before you leave:

  • Move documents from your UVA Box account and/or change ownership of shared files/folders so that others using the data can continue to do so.

To transfer ownership:

  1. For the file/folder you want to transfer, invite the user at any collaborator level.
  2. Change that user's permission level to Owner (not Co-Owner which will result in deletion of files/folders when your account is removed). You will get a warning that you are dropping your own permission to Editor.

Notes:

  • If you ever return to the University, your UVA computing ID will again be your UVA Box login, but your data will not be stored or retrievable in UVA Box.
  • If you are a UVA student at the time you leave UVA employment, your Box account will follow the rules for student accounts.

If you change jobs from one position at the University to another, then your UVA Box account, password, and files should stay the same. However, if your new position does not meet the requirements for a UVA Box account, then you may lose access. To see if your new position meets the requirements for a UVA Box account, see "Am I eligible for a UVA Box account?" above.

If you already have a personal Box account (including if you previously had a UVA Box account, and are now returning to UVA with a personal account), you may continue to use it as you always have. But, if it is associated with your virginia.edu email address, then your options are:

  • Not having a UVA Box account (your personal Box account using your virginia.edu address will stay as is – a separate, personal account – and you will log into it as you always have); or
  • Having a new UVA Box account, but only after you change the email address associated with your personal Box account so it's no longer a virginia.edu email address (keeping a separate, personal account)

Box Apps & Mobile

There are two options for using Box on your mobile device. You can either download the Box app, or use the mobile-friendly Box website (though this option has more limited functionality, it does not require setting a passcode). See below for details.

To install the Box app for your device:

  1. Go to the app store for your mobile device and search for the “Box” app.
  2. Make sure to download the official Box-developed app for your device, not one made by a third party. (The official Box apps are all free.)
  3. Log in to your mobile app. By default, you will see the personal (not enterprise) Box account login. To get the UVA Box enterprise login screen, which is NetBadge:
    • Look beneath the username and password fields for another option; select More login options or My company uses single sign-on.
    • Type your UVA computing ID@virginia.edu (e.g., mst3k@virginia.edu). You will be then be redirected to the UVA Box login.
    • Log in with the password you use to log in through NetBadge.
  4. You will be required to set a passcode for security. UVA requires you set and enter a 4-digit passcode for the Box app in order to have the Box app on your mobile device. You will have to enter this code each time you start a new session in the Box app.

To use the mobile-friendly Box website:

  1. In your mobile device browser, go to Box.com.
  2. To log in, click Log In, then type only your UVA computing ID@virginia.edu (e.g., mst3k@virginia.edu) without the password.
  3. Click Log In, and it will take you to the NetBadge page.
  4. Log in with the password you use to log in through NetBadge. (Note* You cannot use the digital certificate option to log into NetBadge when you are on a smartphone or mobile device.)

Box offers many Official Box apps — including for Macs, PCs, iPhones, iPads, Androids, BlackBerries, Windows phones, and more — all of which are free, Box-developed, and Box is contractually obligated to support.

There are other third-party applications that integrate with and use Box. Before they are enabled for use in UVA Box they must be reviewed for license compliance, security, and compatibility with other applications. If there is an application you would like to use with UVA Box, request review of a third-party application for use with UVA Box.
